Essential Responsibilities of Administrative Services and Communications:
- Provide administrative support to the superintendent in carrying out projects to meet the needs of all school sites,
district departments, and the Board of Education. Special projects as assigned.
- Create internal procedures for the development and processing of board policies and administrative regulations.
- Coordinate a timely response to Public Records Act requests.
- Edit Board of Education agendas; coordinate translation services for board meetings; monitor taping and government
access t.v. airing of Board of Education meetings; oversee duplication of board meeting tapes/DVDs and process requests
for said recordings; periodically work with the transcribers regarding preparation of board minutes.
- Edit and monitor production of the annual School Accountability Report Cards.
- Develop certain administrative protocols and procedures.
- Support the emergency preparedness, crisis planning and response needs of the district.
- Serve as a liaison to the county elections office, law enforcement and other emergency and/or government agencies,
and the community.
- Provide coordination and/or technical support regarding complaints or investigations.
- Project research, oversight, and/or management, as assigned.
- Serve on various internal and external committees for the purpose of gathering/disseminating information to meet
school, parent, and/or community needs (e.g., Measure V bond oversight committee, ADL Education Committee, parent
advisory committees).
- Co-chair the Diversity Advisory Committee; support other diversity-related and safe schools projects.
- Monitor biannual staff training on hate crimes and bias-related incidents.
- Develop letters and materials that support high academic standards and expectations.
- Coordinate multiple recognition programs and events that acknowledge the dedication and hard work of principals,
teachers, students, and community partners, including the annual Employee Appreciation Day.
- Assist with donations of financial resources and accept/distribute donations of goods and services.
- Collaborate with schools and district departments to identify information needs, then supervise and/or create,
edit, produce, and distribute various forms of communication that address those needs (e.g., coordinated advertising
campaigns).
- Coordinate or support school and/or district outreach efforts.
- Coordinate district-based mailings, as needed; assist with site-based emergency letters, as necessary.
- Expand a pilot program for online registration forms in order to save money and improve staff efficiency.
- Plan and coordinate conferences and special events such as the annual management retreat, staff professional development
trainings (involving 450-600 employees per meeting), multi-agency emergency preparedness meetings, and crisis response
training.
- Develop cost-effective advertising campaigns and create posters, fliers, display ads, and banners, as needed.
- Develop press releases (providing photographs as needed), letters to the editor, and work cooperatively with the
media; maintain a current media database.
- Create multiple publications, providing photography as needed: e.g., Board Brief,FYI, Road to Renovation,
Profile of the District, Fast Facts, Content Standards, School Accountability Report Cards review, Facilities
Master Plan Updates; edit communication.
- Assist district/site staff in strengthening customer service skills.
- Develop and coordinate the content of the district’s Web site.
