Construction Documents Technician

Salary

Classified salary schedule, range 39. Initial placement shall be determined according to training and experience; maximum salary placement will be at mid-range. This position is covered by employee selected insurance plan. Benefits include holidays, vacation and sick leave.

Definition

Under supervision, plans, develops, assists with preparation, control and storage of documents for construction projects. Performs specialized clerical duties involving district construction and modernization activities. Assists with management of the organization, maintenance, distribution, preparation, disposition and retrieval of records, legal documents, plans, specifications and contracts for construction projects.

Examples of Duties

Assists with ensuring that all legal documents, contracts, board items, specification manuals, etc. are accurately prepared, disseminated, transferred and stored on a timely basis; assists with maintaining archives of all contracts, plans, drawings, bids, legal documents, board items, and specification manuals related to construction for future reference; monitors legal documents and ensures records are updated and current; assists with the flow of the purchases and returns of bid documents; assists Project Managers in maintaining document control; develops forms necessary for tracking progress of projects relative to construction projects; routes correspondence, reports and bulletins; assists with bid opening meetings; conforms to safety standards as prescribed; performs clerical duties related to district construction and modernization projects; prepares documents and folders for bid proposals and distribution to proper individuals and organizations; prepares contracts for contractors and board items related to contracts; distributes plans and specifications and issues plans to contractors; assists with change order documents and submits for board approval; assists with requisitions for purchases; review and process invoices and applications for payments; order and maintain various forms, supplies and equipment as necessary for efficient office operations; maintain a variety of complex files, records and logs; initiate and answer telephone calls; take and relay messages; schedule appointments; explain program policies and procedures within the scope of authority; provide information of general or limited technical nature; type reports, memoranda, schedules and lists from straight copy, rough drafts or oral instructions; compose independently or from oral instruction, letters requesting or providing information or dealing with routine matters; greet and assist visitors to the office; maintain positive public relations with others, provide information and directions as appropriate; performs other tasks related to the position as assigned.

Employment Standards

Education and Experience: Any combination equivalent to graduation from high school and two years clerical experience involving work with contracts and/or legal documents and public contact.

Knowledge and Abilities: Knowledge of construction document types and district requirements pertaining to document and record retention; operation of a computer and assigned software; modem office practices, procedures and equipment; telephone techniques and etiquette; record keeping techniques; correct English usage, grammar, spelling, punctuation and vocabulary; interpersonal skills using tact, patience and courtesy; construction terminology; archival storage requirements. Ability to work rapidly, accurately and able to meet predetermined deadlines; establish requirements for document receipt control, processing, distribution, and final disposition of construction documents; read, interpret, apply and explain instruction, procedures and regulation to the public; plan, organize work and set priorities; safely move or relocate heavy objects; maintain confidentiality of confidential materials; communicate orally and in writing; perform mathematical computations; compose correspondence and written materials independently; maintain a variety of filing systems; exercise judgment regarding when to act independently and when to refer situation to supervisor; work cooperatively with co-workers, supervisors, other district personnel, students, vendor and the public; recognize and report hazards and apply safe work methods. Type at 45 words net per minute from clear copy (verification of typing required with application).

Physical Abilities: Frequently lift, carry, push, pull or move objects; frequent reaching, handling, fingering, talking, and hearing; mobility to work in typical office setting and use of standard office equipment; vision to read printed materials, VDT screens or other monitoring devices; hearing and speech to communicate in person or over the telephone; bending at the waist, kneeling or crouching to store or retrieve materials; exposure to noise levels ranging from moderate to loud and occasional to frequent time periods of constant interruptions.
