Classified salary schedule, range 28. Initial placement shall be determined according to training and experience; maximum salary placement shall be at mid-range. This position is covered by employee selected insurance plan. Benefits include holidays, vacation and sick leave.
Under the direction of the principal, provide effective communication and clerical support to the principal and other school staff; provide information to the public, staff and students; participate in attendance, enrollment and health-related activities. Bilingual Spanish fluency preferred.
Perform a variety of office functions and activities in an elementary school office; prioritize and schedule duties and activities as necessary to assure efficiency and effectiveness. Perform routine attendance duties as assigned; receive attendance sheets and verify absences and tardies; prepare and maintain attendance and absence reports, lists, and parent letters according to established procedures; assist with adding, transferring and dropping students according to established procedures; enter related information into appropriate computer system. Compose, develop and type a variety of written materials including reports, records, schedules, letters, memoranda, bulletins, programs, documents and statistical data; input and update data on a computer and generate lists and reports as required; duplicate materials for staff as needed. Perform or participate in various enrollment procedures; provide and review enrollment packets; process forms, verify immunizations and other pertinent information, develop cum folders, and enter data into appropriate system as assigned; register, release or transfer students according to established procedures and maintain related lists. Assist in the health office as assigned; perform basic first aid and routine assessment and treatment activities; contact parents regarding sick or injured children as appropriate; prepare and maintain related records according to established guidelines and procedures. Answer phones and greet visitors; take and relay messages; open, sort and route mail and communications; provide information to students, parents, staff and the public; interpret, apply and explain district policies and school procedures and regulations. Inventory and order office, classroom and school supplies, materials and equipment as assigned; check in and distribute orders as appropriate. Prepare and maintain a variety of records, logs, files and reports as assigned. Operate a variety of office equipment such as a computer, typewriter, copier, facsimile and others as assigned. Provide secretarial assistance to faculty and staff as needed. perform various activities related to the assignment such as supervising students sent to the office, testing activities, producing school activities/events calendar, participating in free/reduced lunch program eligibility process, serving as primary key operator, and other activities as assigned. Receive and account for money collected in conjunction with fund-raising and other school activities as assigned. Perform related duties as assigned.
Education and Experience: Any combination equivalent to graduation from high school and two years of increasingly responsible clerical or secretarial experience requiring extensive public contact in an office or school setting.
Knowledge and Abilities: Knowledge of attendance and enrollment policies and procedures; modern office practices, procedures and equipment; record-keeping techniques; telephone techniques and etiquette; correct English usage, grammar, spelling, punctuation and vocabulary; interpersonal skills using tact, patience and courtesy; applicable sections of state Education Code and other applicable laws; basic first aid techniques; operation of a computer and assigned software systems. Ability to perform a variety of clerical duties in support of an assigned elementary school office; participate in attendance, enrollment and health-related activities; understand and follow oral and written directions; communicate effectively with students, parents, staff and administration; learn, interpret and explain rules, regulations, policies and procedures; maintain records and prepare reports; type at 40 words per minutes from clear copy (verification of typing required with application); establish and maintain cooperative and effective working relationships with others; meet schedules and time lines; plan and organize work; operate a variety of office machines including a computer and assigned software; perform basic first aid to ill or injured students.
Physical Abilities: Hearing and speaking to exchange information in person or on the telephone; dexterity of hands and fingers to operate a computer keyboard; seeing to read a variety of materials; bending at the waist, kneeling or crouching to store or retrieve materials; sitting or standing for extended periods of time.
