Job Description: Payroll Technician

Salary

Classified salary schedule, range 39. Initial placement shall be determined according to training and experience; maximum salary placement shall be at mid-range. This position is covered by employee selected insurance plan. Benefits include holidays, vacation and sick leave.

Definition

Under the direction of an administrator, perform responsible payroll and clerical duties in the preparation of the monthly payroll including calculating a variety of formulas for employees; prepare employee files, records, cards and related documents.

Examples of Duties

Perform responsible payroll and clerical duties in the preparation of the monthly payroll for employees including calculating a variety of formulas for employees. Receive and process time reports, status changes, new hires, terminations, leave of absences, step increases, class transfers, longevity increases and related information according to established procedures; maintain employee cards and computerized database. Generate payroll checks utilizing signature stamp machine; burst checks and prepare for distribution to sites. Calculate sick leave and vacation days for employees; notify schools of vacation balances for school personnel; rollover vacation days on computer for new fiscal year as directed. File personnel action forms and miscellaneous deduction forms in employee folders. Verify employment for all employees; prepare information related to employment and salaries as requested; EDD audits, and state disabilities verification. Type a variety of materials including new employee pay cards, distribution cards, manual warrants, and other materials as assigned. Respond to questions or complaints from employees regarding pay deductions, sick leave, vacation and other payroll information. Prepare monthly retirement reports. Maintain office supplies as needed including forms, cards, time reports and worksheets. Perform related duties as assigned.

Employment Standards

Education and Experience: Any combination equivalent to graduation from high school and two years experience in financial and statistical record-keeping.

Knowledge and Abilities:Knowledge of principles and techniques involved in payroll preparation, monitoring and control; practices and procedures of payroll record-keeping and filing; modern office practices, procedures and equipment; applicable sections of State Education Code and other applicable laws; interpersonal skills using tact, patience and courtesy; telephone techniques and etiquette; operation of a computer terminal and other office equipment; tax withholding, voluntary deductions, garnishments and fringe benefits; operation of a computer and assigned software. Ability to perform responsible clerical duties in the preparation of the payroll function; calculate a variety of formulas for employee payroll; process payroll and related records for payroll; add, subtract, multiply and divide quickly and accurately; apply and explain rules, regulations, policies and procedures; understand and follow oral and written directions; establish and maintain cooperative and effective working relationships with others; meet schedules and time lines; work confidentially with discretion; communicate effectively both orally and in writing; type at 40 words net per minute from clear copy (verification with application please); maintain records and prepare reports; operate a computer and other office equipment.

Physical Abilities:Dexterity of hands and fingers to operate a computer keyboard; seeing to read a variety of materials; hearing and speaking to exchange information; sitting for extended periods of time.
